Workshop Booking Policy

Purpose

The Watercolour Society of Queensland (WSQ) is a volunteer-run, not-for-profit organisation. Workshop fees are used to secure tutors, venues, materials, and other event-related expenses. As many workshop costs are committed well in advance, cancellations can significantly impact the viability of a workshop.

We therefore ask participants to carefully consider their availability before making a booking.


Workshop Bookings

A workshop place is not guaranteed until the required deposit or full payment has been received.


Where a deposit option is offered, the balance must be paid by the due date advised by WSQ.


Failure to pay the balance by the due date may result in the workshop place being offered to another participant.


Participant Cancellations

More than 3 months before the workshop:
Participants who cancel more than three (3) months before the workshop commencement date are entitled to a full refund of any deposit paid.

Between 2 and 3 months before the workshop:
Participants who cancel between two (2) and three (3) months before the workshop commencement date are entitled to a refund of 50% of their deposit.

Less than 2 months before the workshop:
No refund of workshop fees or deposits will normally be available for cancellations received less than two (2) months before the workshop commencement date.


Wait List Replacement

If WSQ is able to fill the cancelled place from a waiting list or by another participant, a full refund of workshop fees paid, less any transaction fees or direct costs incurred by WSQ, may be provided.


Transfers

If a participant is unable to attend, WSQ may permit a transfer of the booking to another eligible participant, subject to approval and any workshop-specific requirements.


Partial Attendance

Workshop fees cannot be refunded or reduced on a pro-rata basis where a participant is unable to attend part of a workshop.


Workshop Cancellation by WSQ

If WSQ cancels a workshop due to insufficient enrolments, tutor illness, venue issues, extreme weather, or other circumstances beyond its control, participants will be offered either a full refund or a transfer to a rescheduled workshop where available.

WSQ is not responsible for any costs incurred by participants outside the workshop fee, including travel, accommodation, meals, or other personal expenses.


Exceptional Circumstances

WSQ recognises that unforeseen circumstances can arise. Requests for refunds outside this policy may be considered by the Committee on a case-by-case basis but are not guaranteed.
